Privacy Notice · last updated 2 September 2026

How BoardFaults uses personal data.

Scope

This notice applies when you browse BoardFaults, submit a diagnostic or repair enquiry, correspond with us, or act for a prospective or active service partner. The service is designed primarily for organisations, but private individuals may also submit an enquiry.

Information we collect

We may collect your name, email address, optional telephone number, organisation or enquirer type, location, equipment brand, model and serial number, warranty status, symptoms, safe checks, urgency, service preference, correspondence, and photographs or PDFs you choose to provide. For security and abuse prevention we also create pseudonymised network and browser identifiers and retain basic mail and server logs.

Do not send passwords, pupil records, customer databases, payment-card details, or unrelated personal information. Images should show only the equipment and labels needed for diagnosis.

How and why we use it

Lawful bases

We normally process enquiry data, including the requested hand-off to a selected partner, because it is necessary to take steps at your request before a possible service arrangement, and for our legitimate interests in operating, securing and improving BoardFaults. The form records your instruction to make that hand-off. We will rely on consent only for a genuinely optional use where it is specifically requested. Legal obligations may require us to retain accounting, tax or dispute records. You may withdraw an enquiry or object to future processing, although this does not undo processing already carried out lawfully.

Matching and human safeguards

BoardFaults uses deterministic rules to check whether information is complete and whether a partner covers the stated location, brand and service type. A potential safety hazard is held rather than automatically routed. This process does not make legal, employment, insurance or credit decisions about you. You may ask us to review a matching outcome.

Who receives information

An eligible partner initially receives a technical summary without your direct contact details. If that partner accepts, it receives the information needed to contact you, assess the work and provide its own quotation and terms. That partner then acts under its own data-protection responsibilities for its service. Hosting, email, secure operational-notification, backup, and payment providers process only the information needed to supply their services. We do not sell personal data or mailing lists.

UK and Ireland

BoardFaults is operated in the United Kingdom. For an Irish enquiry, information may be shared with a selected provider in Ireland. Some infrastructure suppliers may process information in other countries under their published safeguards and applicable transfer mechanisms.

Retention

Unmatched or abandoned enquiries are scheduled for deletion after 90 days. Accepted leads, correspondence and service records may be kept for up to 24 months for support, service measurement and dispute prevention. Tax and accounting records are retained for the period required by law. A minimal suppression record may be retained for longer so that a request not to be contacted is respected. Security logs are retained only as long as reasonably needed.

Your rights and complaints

Depending on the circumstances, you may ask for access, correction, deletion, restriction or portability, withdraw consent, or object to processing based on legitimate interests. Contact hello@boardfaults.co.uk. We may need to verify your identity. You may also complain to the UK Information Commissioner's Office at ico.org.uk, or to the Data Protection Commission in Ireland where applicable.

Changes

We will publish material changes on this page and update the date above. The current notice applies from its stated update date.
